Agent

Rota cover admin

Cover admin is a scavenger hunt across a roster, a group chat and three phone calls, usually done by the person who can least afford the hour. This agent assembles the unfilled shifts in one list, applies the order your manager has set for who gets asked, and writes the requests ready to send. The manager keeps every decision that matters.

How it runs

Step by step

01

Connect the roster and the channels

The published rota, the calendar it feeds, and the channels where cover requests and absence messages already arrive.

02

Write down the cover rules

Who is asked first, which teams may cross-cover, what your organisation will not do. These are your rules, written out once and applied consistently.

03

It collects the gaps

Unfilled shifts and open cover requests are pulled into one list with the service, the date and how the gap arose.

04

It applies the order

For each gap the agent works through your rules and proposes who to ask, in sequence, with the reason attached.

05

It drafts the requests

Each ask is written out and held, so the manager sees the whole picture before a single message moves.

06

The registered manager approves

Nothing is sent until the manager has read the list and approved it. Who covers, and whether the shift is safely staffed, stays entirely their call.

The harness

Exactly what this agent can see, touch and change

The same five controls sit behind every Askollo agent. These are this one's settings — visible before you build it, not buried in an admin screen afterwards.

Context

What reaches the model

Registered managers, service coordinators and rota administrators who lose part of every day to cover admin and phone tag.

Escalation

When it asks a person

The registered manager approves the cover list before any request is sent

Verification

How you know it’s right

Every claim links to the document it came from. A statement the agent cannot cite does not make it into the output — which is what makes the result reviewable in minutes rather than re-read end to end.

Who it’s for

Registered managers, service coordinators and rota administrators who lose part of every day to cover admin and phone tag.

What you’ll need

  • Roster and calendar connected
  • Cover rules written down and agreed
  • A channel the agent may post in
  • A registered manager to approve

What you get

  • A single list of unfilled shifts
  • A proposed ask order per gap
  • Draft cover requests held for approval

What it doesn’t do

It does not change the roster and it does not decide staffing levels. It prepares the ask; whether a shift is safely covered, and by whom, is the registered manager's judgement and stays that way.

How you get it

We build the first one with you

Not a template you configure alone. We sit with your team, build it on real data, and hand over the controls.

01

Scope

One session with the people who actually do the work. We agree what the agent reads, what it may write, and who approves.

02

Co-build

Built on your own data, not a sandbox. You watch it being made, so you know why it behaves the way it does.

03

Handover

You own the controls. Change the context, tighten the rights, move the approval gate — without coming back to us.

What it replaces

Parts of the work currently spread across the categories below. It does not replace any of those products outright.

Frequently asked

Does it write the rota?

No. Rostering systems already exist and staffing decisions carry real accountability, so the agent stays on the admin side of the line: assembling gaps, applying your order, drafting the asks. The roster is changed by the people who are answerable for it.

Can it message staff directly?

Only after the manager approves the list, and only into the channels you connect. Nothing goes to a member of staff's personal number unless you have set that up deliberately and it sits behind the same gate.

What if our rules are more complicated than a list?

Most are, and that is worth the co-build session. We write out the exceptions with you rather than simplifying them away, and where a case does not fit the rules the agent escalates instead of choosing.

What does it do about last-minute absence?

It picks the gap up from the connected channel or roster and prepares the list, but it still waits for approval. If your manager needs to act in the moment, they act; the agent catches up rather than getting in the way.
