Agent

Obligation & renewal tracking

Obligation and renewal tracking turns signed contracts back into something the business can act on. The agent extracts the obligations, the renewal dates and the notice periods, records who owns each one, and raises a reminder before the date that matters. The matter owner confirms each obligation before any reminder is scheduled, because a wrong date is worse than no date.

How it runs

Step by step

01

Read the executed contracts

Signed agreements in the repository are read, including the schedules where notice periods usually hide.

02

Extract obligations and dates

Duties, renewal dates, notice windows and conditions are pulled out with a citation to the clause behind each.

03

Record the owner for each

Each obligation is matched to the team or role that has to do something about it, using your ownership map.

04

Show the conflicts and overlaps

Obligations that clash across contracts, and notice windows that overlap, are surfaced rather than tracked separately.

05

Prepare the reminder schedule

A reminder is prepared ahead of each date, timed to leave room to act rather than to announce that the window has closed.

06

Matter owner confirms each obligation

The owner checks the extracted dates and duties before anything is scheduled or posted. Only confirmed obligations become reminders.

The harness

Exactly what this agent can see, touch and change

The same five controls sit behind every ollo agent. These are this one's settings — visible before you build it, not buried in an admin screen afterwards.

Context

What reaches the model

In-house teams carrying a contract portfolio in a spreadsheet, and anyone who has discovered an auto-renewal after the notice window closed.

Verification

How you know it’s right

Every claim links to the document it came from. A statement the agent cannot cite does not make it into the output — which is what makes the result reviewable in minutes rather than re-read end to end.

Who it’s for

In-house teams carrying a contract portfolio in a spreadsheet, and anyone who has discovered an auto-renewal after the notice window closed.

What you’ll need

  • Executed contracts connected
  • Ownership map by team or role
  • Reminder timing rules agreed
  • Matter owner named to confirm

What you get

  • An obligation register with citations
  • A calendar of renewal and notice dates
  • Reminders to the named owner

What it doesn’t do

It extracts what the contract says and reminds the owner. It does not serve notice, exercise an option, or decide whether a deadline can be missed, and a contract it has not been given is a date it cannot see.

How you get it

We build the first one with you

Not a template you configure alone. We sit with your team, build it on real data, and hand over the controls.

01

Scope

One session with the people who actually do the work. We agree what the agent reads, what it may write, and who approves.

02

Co-build

Built on your own data, not a sandbox. You watch it being made, so you know why it behaves the way it does.

03

Handover

You own the controls. Change the context, tighten the rights, move the approval gate — without coming back to us.

What it replaces

Parts of the work currently spread across the categories below. It does not replace any of those products outright.

Frequently asked

Can it serve notice for us?

No. It reminds the owner that the window is open and points at the clause setting out how notice must be given. Serving notice is a formal act with consequences, and it stays with a person every time.

How accurate is the date extraction?

Each date carries the clause it came from so it can be checked in a moment, and that is why the owner confirms before a reminder is scheduled. Notice periods that depend on a triggering event rather than a fixed date are flagged as conditional instead of being given a fixed day.

What about contracts stored outside the repository?

They are invisible to it. Part of the co-build is agreeing where executed agreements live so the register is not quietly incomplete, and the register shows which sources it covers.

Who gets the reminder?

The owner recorded against the obligation, in the channel your team uses, with a calendar entry alongside. If an obligation has no owner, the agent flags it as unowned rather than sending it to legal by default.
