Training record watch
Mandatory training expires quietly and is usually noticed when someone goes looking. This agent reads the training records your organisation keeps, works out who is approaching a renewal for each course, and drafts the reminder to each line manager with their own team's list attached. The workforce lead approves before any of it goes out.
Step by step
Connect the training records
Wherever the record actually lives: a workforce spreadsheet, a shared drive, an export from your learning system.
Set the courses and lead times
Which courses are mandatory for which roles, and how far ahead of a renewal a manager should hear about it.
It reads the current position
The agent works through the records and builds the renewal picture per person, per course, per team.
It groups by line manager
Each manager gets one list covering their own team, rather than a whole-organisation report they have to filter.
It drafts the reminders
A short message per manager, with the list attached and the record it came from referenced.
The workforce lead approves
The reminders are held until the workforce lead has read the list and approved it going to managers.
Exactly what this agent can see, touch and change
The same five controls sit behind every ollo agent. These are this one's settings — visible before you build it, not buried in an admin screen afterwards.

Applications & Rights
Which tools it uses, and what it may do in eachVerification
How you know it’s rightEvery claim links to the document it came from. A statement the agent cannot cite does not make it into the output — which is what makes the result reviewable in minutes rather than re-read end to end.
Who it’s for
Workforce, learning and quality leads carrying mandatory training across several teams, especially where the record lives in more than one place.
What you’ll need
- Training records connected
- Mandatory courses mapped to roles
- Lead times agreed per course
- A workforce lead to approve
What you get
- A renewal list per team
- Draft reminders addressed to managers
- A list of records that look incomplete
What it doesn’t do
It reports what the record says, not what is true on the floor. It does not judge whether somebody is competent or fit to practise, it does not book training, and it does not update the record itself.
We build the first one with you
Not a template you configure alone. We sit with your team, build it on real data, and hand over the controls.
Scope
One session with the people who actually do the work. We agree what the agent reads, what it may write, and who approves.
Co-build
Built on your own data, not a sandbox. You watch it being made, so you know why it behaves the way it does.
Handover
You own the controls. Change the context, tighten the rights, move the approval gate — without coming back to us.
Parts of the work currently spread across the categories below. It does not replace any of those products outright.
Frequently asked
Our records are in two systems and a spreadsheet. Does that matter?
It is the usual starting point and the agent reads across all of them. A useful side effect is the list of people who appear in one record and not another, which is normally the first thing a workforce lead wants to fix.
Can it book the course?
No. It tells the manager what is coming up and leaves the booking with the people who own the training budget and the rota. Booking would mean changing a system of record and committing money, which is outside what this agent does.
Is this a compliance report?
It is an operational reminder built from your own records, and we would not describe it as anything more. What the records mean for your assurance position is a judgement for your quality lead, working from the same data.
What if a record is obviously wrong?
It is flagged rather than corrected. The agent has read rights on the training record and no write rights, so a wrong entry comes back on the incomplete list for a person to fix at source.
